In the Google Admin console, go to Billing > Subscriptions, click your Google Workspace subscription, then Cancel Subscription. How to cancel on the web

You need to be a super admin or have billing rights in the Google Admin console. Before you start, export your data (see below): canceling turns off Gmail, Calendar and Meet for everyone.

  1. Sign in at admin.google.com.
  2. Open the menu and go to Billing > Subscriptions.
  3. Click your Google Workspace subscription, then Cancel Subscription. You may need to click More first.
  4. Pick a reason and click Continue. Google will offer cheaper plans or discounts; you can skip them and click Continue to cancel.
  5. Check the box confirming you've read the information, enter your email address and click Cancel My Subscription.

Your users, groups and org structure stay in the account, so you can resubscribe within 51 days and pick up where you left off.

Moving to another email provider? Update your domain's MX records to the new provider before or right after you cancel, or incoming email will bounce.

If you pay through the App Store or Google Play

Most businesses pay for Google Workspace in the Admin console, so there's nothing to cancel on your phone. If your subscription is billed through Google Play or Apple, cancel it there instead:

  • Android: open Google Play, tap your profile picture, then Payments and subscriptions > Subscriptions, pick Google Workspace and tap Cancel subscription.
  • iPhone or iPad: open Settings, tap your name, then Subscriptions, pick Google Workspace and tap Cancel Subscription.

Team and enterprise plans: the admin route

Bought through a reseller or partner? You can't cancel in the Admin console. Contact the reseller listed under Billing > Subscriptions and ask them to cancel or change your plan. This is common for companies that set up Workspace through an IT provider.

On an Annual or Fixed-Term plan? You've committed to a number of licenses for the full year. Canceling early means you're charged for the rest of the commitment. To avoid that, set the plan to cancel or downgrade at renewal and remove licenses then.

Domain bought during Workspace signup? These domains are now managed by Squarespace. Move domain management to Squarespace and turn off single sign-on before you delete your Google account, or you may lose access to your own domain.

Closing everything for good? After canceling, you can also delete your organization's Google account. That frees your domain within 24 hours but removes all users, groups and billing records. Save billing records and remove Marketplace apps and Google Cloud resources first.

Downgrade or remove seats instead of canceling

Most Google Workspace overspend comes from licenses, not the plan. Before you cancel, check these:

  • Former employees. Every user account is a paid license, even if nobody signs in. Transfer their Drive files and email to a manager, then delete the user. On the Flexible plan, you stop paying for that license right away.
  • Shared inboxes. Addresses like info@ or sales@ don't need their own license. Turn them into a Google Group or an email alias for free.
  • A plan that's too big. If you don't use Business Plus features like Vault or advanced endpoint management, Business Standard or Starter costs less. You can change the plan in Billing > Subscriptions.
  • Annual plan seats. On the Annual plan, you can't remove licenses mid-term, so plan the cleanup before your renewal date.

Subscope helps here: it shows which Google Workspace users haven't signed in for 30 days, so you can clean up licenses before the next bill instead of canceling for everyone.

What happens to your data

When you cancel, your team loses Gmail, Calendar and Meet. Shared drives become view-only. Free Google services like YouTube, Google Photos and Google Ads keep working.

If you later delete the subscription or your organization's account, users' Workspace data is deleted and can't be restored. So before you cancel:

  • Use the Data Export tool in the Admin console to download everyone's Gmail, Calendar, Chat and Drive data.
  • Save your billing records and invoices for accounting.
  • Check apps your team signs in to with Google. They won't be cleaned up automatically, so make sure people can still log in or export their data.

Frequently asked questions

Will I get a refund if I cancel Google Workspace?

On the Flexible plan, you only pay for the days you used, so there's nothing to refund. On an Annual plan, you're charged for the rest of the commitment. If you have leftover credit on the account, Google support can refund it.

What happens to our email after we cancel?

Gmail stops working for your domain. Export mailboxes with the Data Export tool first, and point your domain's MX records to your new email provider so you don't lose incoming mail.

Why can't I find the Cancel Subscription button?

Either you don't have billing rights in the Admin console, or your subscription was bought through a reseller. Ask a super admin, or contact the reseller listed under Billing > Subscriptions.

How do I stop paying for an employee who left?

Transfer their Drive files and email, then delete the user in the Admin console. On the Flexible plan, billing for that license stops right away. On an Annual plan, the license stays paid until renewal.

Can I undo a cancellation?

Yes, if you didn't delete the account. You can resubscribe within 51 days and your users, groups and org structure will still be there.

Why is this guide on Subscope?

Subscope helps companies keep their software subscriptions under control. Connect Gmail or Outlook, and Subscope finds your software receipts and renewal emails and shows everything you pay for in one dashboard. It reminds you before renewals and shows which tools your team actually uses, so you never overspend on software, AI and cloud services.
